Know what training costs – before it's spent.

Set budgets per department, approve requests against them, and see utilisation by team, course, and vendor in real time – training spend in the LMS, not a separate finance tool.

Allocate

Give every team a training budget.

Set budgets by department, team, period, or cost centre – so spend has a ceiling and an owner from the start. As training is booked, each cost draws down the right pool automatically.

  • Budget pools – allocate by org unit, period, or cost centre.
  • Auto draw-down – course and session costs deduct from the right budget.
  • Owners & visibility – each budget has an owner who can see what's left.
Approve

No more rogue training spend.

External courses, conferences, and vendor training run through a request-and-approve flow checked against the budget – so managers and finance sign off before money is committed, not after the invoice lands.

  • Request workflow – employees or managers request external/vendor training.
  • Approval against budget – approvers see remaining budget at the moment of decision.
  • Ties to external training – approved spend links to the training record.

Where the training money actually goes.

A budget dashboard shows allocated vs. spent vs. remaining across the organisation, with reporting by department, course, and vendor – so finance and HR-ops answer "what did we spend, and on what?" without a spreadsheet reconciliation.

  • Utilisation dashboard – allocated, committed, and spent at a glance.
  • Reporting by department, course & vendor – see where budget goes.
  • Feeds Insights & exports – budget data alongside the rest of training reporting.

Budget reporting surfaces inside Insights → alongside training analytics.

Where Budgeting connects

Spend control belongs next to the training it pays for.

Budgets, approvals, and utilisation sit in the same platform as delivery, reporting, and automation – so cost and outcome are never two separate systems.

Frequently asked

Questions, answered.

Can we set training budgets per department or cost centre?+

Yes – that's the core of the module. Budgeting is designed to let you allocate budget pools by department, team, period, or cost centre, each with an owner who can see what's left. Course and session costs will draw down the right pool automatically. (Planned for 2027.)

How will approvals for external training work?+

External courses, conferences, and vendor training will run through a request-and-approve flow. Approvers see the remaining budget at the moment of decision, so spend is signed off before money is committed – not after the invoice lands.

Can we see what we spend per vendor and per course?+

That's the plan. The budget dashboard is designed to report allocated vs. spent vs. remaining by department, course, and vendor, with data surfacing in Insights alongside the rest of your training reporting – no spreadsheet reconciliation.

What can we track today, before Budgeting ships?+

Per-course and per-learner cost tracking is available now inside Learn – you can already see what each session and learner costs. The layer above it – budget pools, approvals, and the spend dashboard – is what's in design for 2027. Join the early-access list to help shape it.

Will Budgeting be a separate finance tool or part of Smart Arena?+

Part of Smart Arena. Budgeting governs training spend inside the LMS, next to the training it pays for – no separate finance system to integrate or reconcile. The plan is Premium-tier inclusion; final packaging will be confirmed closer to launch.
